Privacy policy

This policy explains how Bingo Chess Academy ("we", "us") handles personal information when you message our official WhatsApp number, which is answered by our automated assistant and our staff. We follow Malaysia's Personal Data Protection Act 2010 (PDPA).

What we collect

• Your WhatsApp phone number and WhatsApp profile name.
• The messages you send us and our replies, with their dates and times.
• Details you choose to share about an enquiry, such as your child's name and age, preferred branch, class or schedule.

We do not ask for IC numbers, bank details or passwords on WhatsApp. Please do not send them.

Why we use it

• To answer your questions and follow up on enquiries, trial classes and registrations.
• To let our staff see the conversation and reply personally when needed.
• To keep the service working safely and to improve our answers.

We do not sell your information, and we do not use it for advertising.

Who processes it

• Meta (WhatsApp) delivers messages between you and us, under WhatsApp's own terms and privacy policy.
• Anthropic provides the AI model (Claude) that drafts our assistant's replies. Messages are sent to it only to produce a reply, under a business agreement that does not allow it to train its models on this data.
• Our server: conversation records are stored on a private server rented by the academy, accessible only to authorised academy staff.

How long we keep it

We keep conversation records for as long as needed to serve you and run the academy, and no longer than 24 months after your last message, unless the law requires otherwise. You can ask us to delete them sooner (see below).

Children

Our students include children. Enquiries about a child should come from a parent or guardian, and we only collect the details needed to arrange classes.

Your rights
